LARP — Damage, Holds & Disputes Policy

1. LARP's role — and why damage is rare on LARP
1.1 We're an intermediary, not an insurer or a judge. LARP provides tools to collect a refundable security deposit, to file a damage claim, and to try to resolve damage issues. LARP does not insure any Car, does not guarantee any outcome, and is not the decision-maker of record. Disputes are ultimately between the Owner and the Creator (see the Terms of Service).
1.2 The model limits damage in the first place. Because the Creator never operates the Car, the Owner (or their representative) is present the whole time and keeps the keys, and the Car remains stationary for the Session, the damage scenarios that dominate vehicle rental businesses (collisions caused by the customer, mechanical abuse, mileage, fuel, theft of the vehicle) are substantially reduced. They are not eliminated: a Session can still involve on-set property damage, injury, theft, weather, and the Owner's own transit to and from the location. Realistic Session damage is limited to incidental, on-set issues (e.g., a scratch, a spill, a prop contact). The deposit below is a refundable amount sized to each booking — 2× the session price, with a $200 minimum and a $2,000 maximum.
1.3 Where the deposit sits. All charges, refunds, and payouts run through Stripe. The deposit is charged with the session payment and settles into LARP's own Stripe account, where it stays until it is refunded to the Creator or applied to a resolved claim under this Policy. LARP is not a bank: the deposit is not a deposit account and earns no interest — it is a refundable amount held against the claim window and then returned. See ToS §7.2.
2. The refundable security deposit
2.1 What it is. When a Creator books, LARP charges the session price and a refundable security deposit in a single payment. The deposit is 2× the session price, with a minimum of $200 and a maximum of $2,000. The deposit is a charge, not a pre-authorization — the money leaves the Creator's account at booking and returns as a refund under §2.2.
2.2 When it comes back. The deposit is refunded automatically within about 6 hours of the Session completing. If the Owner opens a damage claim within the claim window (§3.1), the refund is paused until the claim is resolved under §3; a resolved claim refunds the deposit minus any amount applied to the claim. The Creator sees one charge from LARP covering the Session and the deposit, and later a separate refund. Your bank may take additional time to show refunded funds.
2.3 It's a refundable security deposit, not insurance. The deposit is a refundable security amount sized to the booking; it is not a cap or a measure of damages and not insurance. Damage liability is allocated by the Terms of Service, and any damage beyond the deposit remains a matter between the Owner and the Creator (see §3.2).
3. Damage claims and the deposit
3.1 When claims can be raised. An Owner may raise a damage claim only within the first 5 hours after the Session completes (the deposit auto-refunds at about the 6-hour mark). A claim opened inside that window pauses the refund until the claim is resolved. Owner payouts settle to the Owner's Stripe connected account and then pay out on Stripe's regular payout schedule (see ToS §7.2 for the route the money takes).
3.2 How the deposit is applied. If a damage claim is resolved with an amount owed to the Owner and the Terms of Service permit it, that amount is withheld from the deposit refund and the remainder is refunded to the Creator. Damage beyond the deposit amount is a matter between the Owner and the Creator (LARP may help facilitate but is not responsible for it).
4. Damage claims — process
4.1 Who can file. The Owner may file a damage claim for damage to the Car or covered property that occurred during the Session.
4.2 When. Within 5 hours of the Session completing (see §3.1).
4.3 Evidence. Claims rely on the Session's in-app record — including any photos of the Car's condition taken before and after the Session — plus the description and any documentation the Owner submits with the claim. A Creator can reply in the app (§4.5). The app does not yet have a Creator-side file upload, so photographs and documents are sent by email.
4.4 What LARP does. We review the claim against the Session's in-app record and whatever either party has sent us, and, where the Terms of Service permit and the evidence supports it, we may apply some or all of the deposit toward the claim by withholding it from the deposit refund. We may ask either party for more information, but we are not obliged to, and — once the Creator has responded, or their 72-hour response window (§4.5) has closed — a claim can be decided on the material in front of us. LARP's facilitation is not a legal adjudication, an insurance determination, or a guarantee, and either party may pursue other remedies between themselves.
4.5 Creator response, and the time you have to make it. When an Owner files a claim, we notify the Creator. From 26 August 2026 a claim cannot be upheld against your deposit for money until either you have responded or 72 hours have passed since it was filed. That window is enforced by our systems, not by policy alone. It does not delay an outcome in your favour: a claim can be rejected, or upheld for nothing, at any time.
To respond, open the booking in the LARP app and use Respond to a claim. If you are on an older version of the app that does not show it, email admin@larp.global instead. Either way, include anything that supports your account — for example photos showing pre-existing damage. You can only send one response, so put everything in it; once given, a response cannot be edited. If you say nothing before the 72 hours are up, the claim can be decided without you.
5. What is and isn't covered
- LARP provides no insurance for the Car, the Session, or the participants. The Owner is responsible for the Car and for carrying the Owner's own appropriate insurance (see the Terms of Service).
- Personal injury and third-party claims are governed by the assumption of risk, release, and limitation of liability in the Terms of Service and by the parties' own insurance — not by the deposit.
- The deposit covers only the limited, on-set property scenarios described above, up to the deposit amount, where the Terms of Service permit it to be applied.
6. Please don't go off-platform or straight to a chargeback
Keep coordination and evidence in-app so we can help. If you have a payment dispute, use this process first; initiating a card chargeback before doing so can complicate resolution and may itself violate the Terms of Service.
7. Insurance
LARP does not offer insurance today. If an optional insurance product is ever offered in the future, it would be provided through a licensed insurance partner under its own terms, shown before you pay. Nothing in this Policy is an offer of insurance.
